Qualia Solutions is recruiting a detail-oriented remote Executive Assistant for one of our clients, a US-based accounting and advisory firm. You'll support the firm's leadership by managing inboxes and calendars, keeping client documents and engagement letters organized, and handling day-to-day bookkeeping and invoicing in QuickBooks. The role is fully remote from anywhere, as long as you overlap with US Central business hours.

You'll: manage executive inboxes and calendars; prepare and track engagement letters and contracts in DocuSign; send invoices, track payments, and follow up on overdue accounts in QuickBooks Online; support AP/AR and bank reconciliations; keep client folders and trackers current in Google Drive and Sheets; and coordinate with the firm's clients on documents and deadlines.

Must-haves: 3+ years as an executive or virtual assistant, hands-on QuickBooks Online, DocuSign, Google Workspace, strong written English, and discretion with confidential financial data.

Nice-to-haves: experience at a CPA firm, QuickBooks ProAdvisor certification, Canopy, Karbon, or TaxDome, and payroll or 1099 experience.
